Everything you need to know about licensing, planning and hosting a screening of How to Live on Earth.
How does screening licensing work?
When you book a screening you receive a non-exclusive, non-transferable licence from Biodiversity 25 Ltd to exhibit How to Live on Earth at the venue and on the date you confirm at booking. The licence covers that single event. Full details are set out in the Screening Licence Terms.
What licence types are available?
A single screening licence for a one-off in-person event, an annual institutional licence for repeat internal use across twelve months, an optional geo-restricted virtual add-on, and discretionary partner or pro-bono arrangements agreed in writing with the team.
How much does it cost?
Pricing depends on your organisation type and expected audience size, and is shown live as you make your selections during booking. Prices are in GBP and exclusive of VAT, with an approximate USD equivalent displayed for reference.
Can I charge for tickets or fundraise?
Yes. Hosts can charge admission, fundraise or take donations, and all of that revenue stays with you. We operate a flat licence fee model, so we take no share of your box office.
What does my license fee go towards?
Any revenue from screening licenses is reinvested into the impact campaign for the film, enabling us to support screenings and deliver activities to reach audiences with the message of the film.
What equipment do I need?
A projector or large screen, a sound system suited to your room size, and a reliable internet connection if you are streaming the file. For smaller community spaces a large TV with good external speakers works well. Always test playback in advance of your event.
How many people can attend?
As many as the capacity band you select and pay for at booking. If your audience is going to be larger than expected, get in touch before the event so we can adjust the licence.
When is the earliest I can hold my screening?
1 October 2026. The film is not available for licensed screenings before that date, so the booking form won't accept an earlier one. You can book now and choose any date from 1 October 2026 onwards.
How far in advance should I book?
Book at least 14 days ahead. We recommend three to four weeks so you have time to promote the event, confirm your venue and work through the marketing materials.
Can I cancel or reschedule?
Rescheduling is possible if you ask at least 14 days before your confirmed date and we agree it in writing. Licence fees are non-refundable as standard — refunds are at the team's discretion and considered case by case, so contact us as early as possible if something goes wrong.
What marketing materials do you provide?
A poster pack with editable space for your venue, date and time, a social media kit, the official trailer, high-resolution stills and press images, plus the host and discussion guides. Everything is on the Screening Resources page.
Can I edit the poster or artwork?
You can add your venue, date and time in the editable space provided. Key artwork, the title treatment and the credits block must not be altered, recoloured or cropped, and the Film's artwork can't be used to endorse a product, brand or political campaign. You can add your logo or event sponsor logo as long as it's clear it's connected to the event only and not the film. Our editable files hold space for this.
What are my responsibilities as a host?
You are responsible for public liability insurance, venue safety and accessibility, any local exhibition licences or permits, providing and testing the equipment, and keeping any supplied files or links secure. Hosts indemnify Biodiversity 25 Ltd against claims arising from their event.
Can I run a virtual screening?
Yes, where a virtual add-on is included in your licence. Virtual screenings must be geo-restricted to the approved territory and limited to a registered, invited audience — links must never be posted publicly.
Can I host a Q&A or panel discussion?
Absolutely, and we encourage it — the discussion guide includes suggested themes and questions. If you would like a speaker from the team or a contributor to join, select the speaker add-on at booking and we'll quote based on availability.
When do I get the film file?
Your personal download link opens automatically five days before your screening date, so you have time to test playback in the venue, and it closes the morning after your event. The link is emailed to you and is tracked against your booking — please don't forward it. If you need the file earlier for a technical check, email the team and we'll arrange it.
What languages are available?
The original film is in English, with English subtitles where non-English language is spoken. We have subtitled versions in French, Spanish and English. Other subtitles are available upon request, and may incur costs to deliver. Please select your preferred language version in the screening request form.
Can I change my screening date, venue or details after booking?
Yes — email screenings@togetherfilms.org at least 14 days before your confirmed date, and the team will update your booking. There's no self-service change online, as we need to ensure your licence, download window, and invoice all sync. Once we have manually updated your details, your download link will be issued for the new date.
Will I get a VAT invoice?
Yes. A VAT invoice is linked in your payment confirmation email as soon as your payment clears, showing the licence description, net, VAT and total. Open the link and use your browser's print option to save it as a PDF. If you need it re-sent or addressed differently, email the team.
What happens to the film file after my screening?
Streaming links expire at the end of your licence period. If files were supplied, delete every copy immediately after the event and confirm deletion if we ask. The Film must always be shown in full with credits intact.
Do you need feedback after the screening?
Yes please — your insights will help us to track and monitor the film's overall reach and impact. Hosts complete the host evaluation form, and you can share the audience feedback form with everyone who watched. Both take about ten minutes and only name and email are required. Can I host a screening anywhere in the world?
Almost — we license screenings worldwide, but we may not be able to license a screening in a country subject to UK government sanctions. Requests from those countries are reviewed individually rather than paid for online: choose your country on the booking form, submit the request, and the team will come back to you. The current list of regimes is published on gov.uk.
