Terms & conditions

• “Licensor” means Biodiversity 25 Ltd, the rights holder granting the licence.
• “Host” means the individual or organisation booking a screening licence.
• “Film” means the documentary How to Live on Earth, including the trailer and any supplied clips.
• “Screening” means any non-theatrical exhibition of the Film — community, educational, corporate, festival or event-based.
• “Virtual Screening” means an online exhibition of the Film restricted to a defined audience and territory.
• “Licence Period” means the dates set out in your booking confirmation.

Biodiversity 25 Ltd grants the Host a limited, non-exclusive, non-transferable and revocable licence to exhibit the Film strictly in accordance with the licence type purchased and the details confirmed at booking.

The licence may not be assigned, resold or sublicensed. It covers the specific event, venue and date confirmed in your booking. Any additional screening requires a separate licence.

Available licence types are:

• Single screening — one in-person event at a named venue on a confirmed date.
• Annual institutional licence — repeat internal use across an institution for twelve months.
• Virtual add-on — a geo-restricted online screening, where offered alongside an annual licence.
• Partner / pro-bono — discretionary, granted in writing by the team.

Use of the Film outside the licence type purchased is prohibited.

The licence is valid only in the country and venue confirmed at booking. Virtual Screenings must be restricted to the approved territory and to a registered, invited audience — public links are not permitted.

Audience numbers must not exceed the capacity band selected and paid for. If your audience grows beyond that band, contact us before the event so the licence can be adjusted.

• Screenings may only take place on or after 1 October 2026. No licence is granted for any exhibition of the Film before that date, and bookings with an earlier screening date cannot be accepted.
• Screenings should be booked at least 14 days in advance to allow time for materials and promotion.
• Licence fees are payable in full at booking. Prices are quoted in GBP and exclusive of VAT.
• Rescheduling is permitted where requested at least 14 days before the confirmed date and agreed in writing by the team.
• Licence fees are non-refundable. Refunds are entirely at the discretion of Biodiversity 25 Ltd and are considered on a case-by-case basis.
• Screenings that go ahead outside the confirmed date, venue or format may result in forfeiture of the licence fee.

Hosts may charge admission, fundraise or accept donations at their screening, and all ticket and donation revenue remains with the Host.

Biodiversity 25 Ltd operates a flat licence fee model unless otherwise agreed in writing, and makes no representation or guarantee regarding attendance or event profitability.

The Host is solely responsible for:

• Public liability insurance appropriate to the event.
• Venue safety, accessibility and compliance with local law.
• Any local exhibition licences, permits or permissions required.
• Providing suitable projection and sound equipment, and testing playback in advance.
• Maintaining a secure playback environment and safeguarding any files or links supplied.

The Host indemnifies Biodiversity 25 Ltd against any claim arising from the operation of their event.

Hosts may use only the promotional materials supplied through the screening resources pack. Key artwork, posters and the film title treatment must not be altered, recoloured, cropped or combined with other artwork beyond the editable space provided for venue, date and time.

Hosts must credit the Film accurately and use the approved billing block and partner logos where supplied.

The Host must not:

• Copy, duplicate, record, screen-capture, upload or redistribute the Film.
• Share streaming links, passwords or files publicly or beyond the approved audience.
• Edit, cut, dub, subtitle or otherwise modify the Film without written permission.
• Exhibit the Film in a format or territory other than the one licensed.
• Use the Film or its artwork to endorse a product, brand or political campaign.

The Film must be shown in full, unaltered, with all credits intact.

Where the Film is supplied as a file, the Host receives a personal, tracked download link. That link opens five days before the confirmed screening date so the Host can test playback in the venue, and closes on the morning after the event. Downloads are logged against the Host's booking.

Links must not be forwarded, shared or reused. Requests to change a confirmed screening date, venue or contact must be made by email to the team at least 14 days before the date — there is no self-service change online, and the download window is re-issued against the new confirmed date.

• Where files are supplied, all copies must be deleted immediately at the end of the Licence Period, and deletion confirmed on request.
• Streaming links expire at the end of the Licence Period and must not be reshared.
• Hosts are asked — but not required — to complete the host evaluation form and to invite their audience to complete the audience feedback form, so the impact of the Film can be measured.

Biodiversity 25 Ltd collects Host booking details, payment records and, where applicable, attendee registration data for Virtual Screenings. This data is processed to deliver your licence, provide support and report on campaign impact.

Evaluation responses may be reported in anonymised, aggregate form. Named or quotable responses are used only where explicit permission has been given in the relevant form.

Biodiversity 25 Ltd may revoke the licence immediately, without refund, where these terms are breached — in particular where the Film is copied, redistributed, altered or exhibited outside the licensed scope.

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
